The Associate, Participant and Alumni Impact will provide integral operational support to Teach For All’s largest programmatic team. This Associate will own daily administrative responsibilities including managing the schedule of our team’s Senior Director, providing travel logistics support for the Senior Directors/Directors on the team, as well as scheduling large meetings across our team and with staff from our partner organizations. Additionally, working with the Director of Learning and Operations and Senior Associate on the Network Impact Team as well as the Chief of Staff and the other associates across the Network Impact Team, the Associate will contribute to systems (including but not limited to: quantitative and qualitative data tracking, budget tracking and our team intranet) in order to help ensure effective collaboration across our team, as well as with other teams in the organization. As the need arises, Associates will also take on discrete projects with directors on the Network Impact team.
The ideal candidate for this role is a flexible self-starter with a strong attention to detail who enjoys learning and is passionate about making systems and people operate as successfully as possible.
Outcomes
The Associate, Participant and Alumni Impact will:
· Coordinate the calendars of the Senior Directors in a way that leads to maximized time efficiency
· Assist in planning domestic and international travel, ensuring travel is both cost and time efficient
· Support communication efforts to share and spread knowledge in participant and alumni impact
· Ensure team-wide expenses are submitted correctly and on time and properly tracked against budget
· Ensure the Participant and Alumni Impact team feels supported in scheduling, travel, and project needs
Responsibilities
Responsibilities include, but are not limited to:
Providing administrative support to the Senior Directors and Participant and Alumni Impact Team (20%)
· Work with internal and external constituents to coordinate meetings for the Senior Directors and support other PAI Directors to schedule meetings in cases of complexity – e.g., multiple participants, across multiple time zones, etc.
· Proactively ensure the Senior Directors are effectively leveraging their time and that their schedule operates as seamlessly as possible.
· Provide travel planning support (including research, booking, reporting, and potentially preparing documents) for the Senior Director and Directors.
Contributing to systems, processes and communication on the Participant and Alumni Impact team (20%)
· Collect, collate and analyze qualitative and quantitative data about our team’s work and add it to internal reporting dashboards and sites, ensuring information is easy to understand, accurate, and up-to-date.
· Work with other associates on the Network Impact team on new and existing systems for inter- and intra-team collaboration.
Support key communication efforts across the team (20%)
· Support the team on quarterly newsletters for network staff, participants and alumni as well as on the design of various work products such that network knowledge and knowledge products are presented in clear, compelling and visually appealing ways.
Lead on expense reporting and tracking across the team (20%)
· Code receipts and expenses monthly for the Senior Director and Directors on the team.
· Ensure expenses are properly coded and submitted on time
· Lead on accurate and timely budget tracking across the team.
Special Projects (20%)
· Leading or supporting projects for team members throughout the year, including but not limited to support event logistics, preparing key documents, compiling and analyzing data, producing synthesized meeting notes, etc.
Requirements
· A minimum of 2 years working experience
· Proficiency in Microsoft Suite applications (Outlook, Word, Excel, PowerPoint)
· Fluency in English
· Fluency in one or more additional languages (particularly Spanish, French, Arabic, Chinese) is a plus, but not required
· International experience is preferred

The mission of the Network Impact Team is to capture the value of being a global network to maximize the impact of Teach For All’s 35+ partner organizations. We do this by capturing and sharing the network’s knowledge, by fostering high-impact direct connections across the network, by leveraging global resources to benefit the network, and by contributing to the leadership development of partner staff, participants (network teachers), and alumni.
The team includes both global and regionally dispersed specialists responsible for each functional area that is critical to the model’s impact (recruitment and public affairs, participant & alumni impact, public & private sector support, and organizational development). It also includes a central team supporting leadership development, in-person events, and online learning across all functional areas.
Within the larger Network Impact Team, the 19-person Participant and Alumni Impact Team’s work encompass the entire leadership development continuum -- from the way in which participants in these two-year teaching programs are trained to enable path-changing impact on students to the way in which alumni are supported to achieve transformative systemic change in their countries. This area of work aims to bridge classroom and system leadership -- enabling organizations to build the reflective capacity necessary to accelerate their impact over time and ultimately bring about more equitable outcomes for ever greater numbers of children.

Position Summary
The Associate, Participant and Alumni Impact will provide integral operational support to Teach For All’s largest programmatic team. The Participant and Alumni Impact (PAI) team is a global team of specialists focused on creating transformational outcomes for students and system change through our Teach For All network teachers and alumni. This person will support the Senior Directors, Participant and Alumni Impact and a total team of nineteen by providing logistical, administrative, and project support, ultimately contributing to the efficient and effective culture and processes of our team. (see below for an overview of the team’s work).
This Associate will own daily administrative responsibilities including managing the schedule of our team’s Senior Director, providing travel logistics support for the Senior Directors/Directors on the team, as well as scheduling large meetings across our team and with staff from our partner organizations. Additionally, working with the Director of Learning and Operations and Senior Associate on the Network Impact Team as well as the Chief of Staff and the other associates across the Network Impact Team, the Associate will contribute to systems (including but not limited to: quantitative and qualitative data tracking, budget tracking and our team intranet) in order to help ensure effective collaboration across our team, as well as with other teams in the organization. As the need arises, Associates will also take on discrete projects with directors on the Network Impact team.
The ideal candidate for this role is a flexible self-starter with a strong attention to detail who enjoys learning and is passionate about making systems and people operate as successfully as possible.
Outcomes
The Associate, Participant and Alumni Impact will:
· Coordinate the calendars of the Senior Directors in a way that leads to maximized time efficiency
· Assist in planning domestic and international travel, ensuring travel is both cost and time efficient
· Support communication efforts to share and spread knowledge in participant and alumni impact
· Ensure team-wide expenses are submitted correctly and on time and properly tracked against budget
· Ensure the Participant and Alumni Impact team feels supported in scheduling, travel, and project needs
Responsibilities
Responsibilities include, but are not limited to:
Providing administrative support to the Senior Directors and Participant and Alumni Impact Team (20%)
· Work with internal and external constituents to coordinate meetings for the Senior Directors and support other PAI Directors to schedule meetings in cases of complexity – e.g., multiple participants, across multiple time zones, etc.
· Proactively ensure the Senior Directors are effectively leveraging their time and that their schedule operates as seamlessly as possible.
· Provide travel planning support (including research, booking, reporting, and potentially preparing documents) for the Senior Director and Directors.
Contributing to systems, processes and communication on the Participant and Alumni Impact team (20%)
· Collect, collate and analyze qualitative and quantitative data about our team’s work and add it to internal reporting dashboards and sites, ensuring information is easy to understand, accurate, and up-to-date.
· Work with other associates on the Network Impact team on new and existing systems for inter- and intra-team collaboration.
Support key communication efforts across the team (20%)
· Support the team on quarterly newsletters for network staff, participants and alumni as well as on the design of various work products such that network knowledge and knowledge products are presented in clear, compelling and visually appealing ways.
Lead on expense reporting and tracking across the team (20%)
· Code receipts and expenses monthly for the Senior Director and Directors on the team.
· Ensure expenses are properly coded and submitted on time
· Lead on accurate and timely budget tracking across the team.
Special Projects (20%)
· Leading or supporting projects for team members throughout the year, including but not limited to support event logistics, preparing key documents, compiling and analyzing data, producing synthesized meeting notes, etc.
Requirements
· A minimum of 2 years working experience
· Proficiency in Microsoft Suite applications (Outlook, Word, Excel, PowerPoint)
· Fluency in English
· Fluency in one or more additional languages (particularly Spanish, French, Arabic, Chinese) is a plus, but not required
· International experience is preferred

· Excellent organization and attention to detail
· Exceptional written and verbal communication skills
· Highly efficient when managing a high volume of diverse tasks and projects; self-starter
· Desire and ability to learn new tools and technologies needed and quickly to maximize efficiency; ability to look for ways to work more efficiently and streamline processes
· Ability to prioritize, multi-task, and build systems to increase efficiency
· Ability to juggle several competing priorities at once with a spirit of flexibility and positive outlook
· Enjoyment of organizing, planning, and logistics and a willingness to support others

Work Authorization
Candidates for this position must possess local work authorization in order to be considered.
Travel and Hours
Given that this role will support individuals in various time-zones, some non-traditional hours are expected for occasional early or late calls.

Network Impact Team and Participant and Alumni Impact Team Overview
The mission of the Network Impact Team is to capture the value of being a global network to maximize the impact of Teach For All’s 35+ partner organizations. We do this by capturing and sharing the network’s knowledge, by fostering high-impact direct connections across the network, by leveraging global resources to benefit the network, and by contributing to the leadership development of partner staff, participants (network teachers), and alumni.
The team includes both global and regionally dispersed specialists responsible for each functional area that is critical to the model’s impact (recruitment and public affairs, participant & alumni impact, public & private sector support, and organizational development). It also includes a central team supporting leadership development, in-person events, and online learning across all functional areas.
Within the larger Network Impact Team, the 19-person Participant and Alumni Impact Team’s work encompass the entire leadership development continuum -- from the way in which participants in these two-year teaching programs are trained to enable path-changing impact on students to the way in which alumni are supported to achieve transformative systemic change in their countries.
